POSITION DESCRIPTION TITLE: Information Systems Administrator / Data Manager SUPERVISOR: Director of Administration LOCATION: Minneapolis, Minnesota PREPARER: Louise Morgan DATE PREPARED: March 2001 SUMMARY OF POSITION: The Information Systems Administrator / Data Manager (ISADM) works closely with Minneapolis administrative staff to provide technical support for all computer users in the Minneapolis office and throughout Minnesota. He/she will train users in network and selected software applications, and setup new users and individual workstations program-wide. In addition, s/he makes recommendations and coordinates IS purchasing statewide. S/he is the liaison between local staff, the Conservancy's divisional/national systems support group, and outside vendors as applicable. This person assures integration and compatibility of software and hardware within the Conservancy's standards as well as internally within all Minnesota offices. The ISADM also maintains all information associated with the Conservancy's land protection activities in Minnesota using computerized and manual information systems. This information is used to track legal and project activity, produce reports for all state, division and home office staff and document project review and approval. The ISADM is responsible for the database used in the Minnesota Field Office and ensures that the data complies with Conservancy standards and procedures, performs regular data transfers with other Conservancy offices, reconciles data and trains and supports landscape office staff in the use of the database system as it relates to project and real estate activity. The ISADM will implement the conversion to a new database system and will provide support to landscape office staff for the conversion of field office systems. This is a regular full-time position, which supervises no staff and is supervised by the Director of Administration. This position is based in Minneapolis and expected to manage all information systems (IS) for the Minneapolis office of the Minnesota Chapter and the Midwestern Resource Office as well as assist with IS needs for the Minnesota Chapter in greater Minnesota Offices. On average, s/he will need to travel to greater Minnesota bi-monthly. JOB DUTIES: 1. Maintain computer systems to assure access to the network by all users, install software upgrades, coordinate network maintenance with LAN Field Services staff, supervise maintenance and repair of printers and hardware. 2. Install new workstations for both office-based and telecommuting staff. Set up and maintain user accounts and security on network. Provide new user orientation on Conservancy supported hardware and software products. 3. Provide hardware and software (computer systems) support state-wide while achieving a high degree of user satisfaction. 4. Repair and upgrade IS hardware and software based on the most cost-effective use of manufacturers' warranties, in-house maintenance, contract maintenance and replacement in accordance with Conservancy IS standards. 5. Maintain an inventory of computer equipment, software licenses, and coordinate all IS purchasing statewide. 6. Assist Director of Administration with planning information systems and acquisition of hardware and software for all Minnesota offices. 7. Troubleshoot computer hardware, printer, software, LAN and telecommunication problems both upon installation and in connection with ongoing operations. 8. Use the current Biological and Conservation Data system (BCD) to maintain accurate records on and track the status of all Conservancy projects, real estate transactions and other legal matters in Minnesota, and provide appropriate periodic summaries and other reports as needed. 9. Maintain the accuracy and quality of the Minnesota Field Office database systems by doing data entry, executing regular quality control routines, correcting software problems in consultation with Midwestern Resource Office staff and installing periodic program upgrades to the Minnesota system. Assist in maintaining the accuracy of state field office and Midwestern Resource Office BCD systems by performing regular data transfers and reconciliations. ENTRANCE REQUIREMENTS: 1. Bachelor's degree in Business Administration or Computer Science. Related work experience may be substituted for a degree on a year-for-year basis. 2. In-depth knowledge of computers and Microsoft software (i.e. Windows, Word, Excel, Assess and Power Point). 3. Demonstrated training and experience in maintaining a database with ability to produce reports. 4. Knowledge of database design and management. Ability to manipulate, analyze and interpret data. 5. Ability to work independently and as a team member. 6. Ability to communicate effectively both verbally and in writing with a wide range of people. 7.
